Sharing Results With Consultants

How to give consultants secure access to the reports and results

MoreThanDigital Insights provides a dedicated Consultant Role to securely share your results with external experts while maintaining control over access and data privacy. This guide explains how to invite consultants, manage their permissions, and safely share your results.


1. The Consultant Role

  • Purpose:
    The Consultant Role is designed to allow consultants to view results and reports without the ability to edit numbers, add new insights, or make changes to your data. This ensures secure access and prevents any potential misconduct.

  • Permissions:

    • Consultants can view results and generate reports.

    • Consultants cannot modify data, invite users, or access areas outside their assigned scope.

  • Scope of Access:
    Consultants can be invited to specific:

    • Departments

    • Modules

    • The entire company


2. Inviting Consultants

  1. Go to User Management or Company Team Management.

  2. Select the Consultant Role and assign it to the consultant’s email address.

  3. Define the scope of access (e.g., department, module, or company-wide).

  4. Click Invite to grant access.

Important:

  • Access can be revoked anytime via User Management.

  • Once access is removed, consultants can no longer view the data or generate new reports.


3. Consultants and Report Access

  • Consultants can generate and access reports during their active role period.

  • They can also view past reports they generated.

  • Limitations:

    • Past reports cannot be retroactively removed from the consultant’s view.

    • Reports serve as a snapshot of data at the time they were created.


4. Recommendations for Handling Reports

  • PDF Downloads:
    Consultants can download PDF versions of the reports. Since these contain sensitive information:

    • Ensure a Non-Disclosure Agreement (NDA) is in place.

    • Include contractual obligations for consultants to delete data after the engagement ends.

  • Custom Reports:
    When generating reports, you can customize the content to share only relevant information with consultants.

    • Use the Results tab to generate a report and include only specific departments or modules (e.g., "Sales & Customer Service").

    • Save or print only the relevant pages for offline sharing.

Tip: Sharing tailored reports minimizes the exposure of unrelated or sensitive data.


5. Environment-Friendly Practices

If printing reports:

  • Print only the necessary pages to save paper.

  • Use the report's print-optimized features (e.g., black-and-white printer-friendly formatting).
