Importing Employee Emails via CSV for Inviations & Surveys

Send surveys and invitations to a large number of employees and roles

To make inviting employees for surveys and managing departments easier, MoreThanDigital Insights provides the functionality to bulk upload email addresses using a CSV file. Follow this step-by-step guide to import your employee list effortlessly.


1. CSV File Format

To import email addresses, you need to create a CSV file with the following specifications:

  • Column Structure: The file must have a single column titled Email.

  • Email List: Each employee email address should be listed on a new line under the Email column.

  • File Format: Save your file as a comma-delimited CSV file.

Example CSV File Structure:

Email

john.doe@example.com

adam.doe@example.com


2. Creating the File

You can create the file in tools like Microsoft Excel, Google Sheets, or any text editor.

Steps in Excel or Google Sheets:

  1. Open a new spreadsheet.

  2. Add Email in the first cell of the first column (A1).

  3. Enter all employee email addresses in subsequent rows (A2, A3, etc.).

  4. Save or export the file:

    • In Excel, choose "Save As" > "CSV (Comma delimited)".

    • In Google Sheets, go to "File" > "Download" > "Comma-separated values (.csv)".

3. Importing the CSV File

When inviting employees for surveys or department-specific roles:

  1. Go to the Invitation Manager or the specific module for survey invitations.

  2. Locate the email input field.

  3. Click on the Import button next to the email input field.

  4. Select and upload your prepared CSV file.


4. Important Notes

  • Invitation Restrictions: The "Import" feature is not available for certain sensitive roles like owners to prevent mass uploads for security reasons.

  • File Errors: Ensure there are no additional columns or invalid formats in the CSV.

  • Example Template: Click the info button in the invitation section to download a ready-to-use template.


By using the CSV import feature, you can quickly invite dozens, hundreds, or even thousands of employees to participate in surveys or assign them to departments. This streamlined process saves time and ensures better participation.
